Who we are
Rekodam is a record-keeping app for traders and small businesses. A business owner and the team they invite use it to record sales, customer debts, stock, expenses and payments. This policy explains what we hold and what you can do about it.
What we collect
- Your account — name, email address, phone number and password (stored only as an unreadable hash, never in plain text).
- Your business records — the sales, debts, expenses, products, shops, customers and payments you enter.
- Device and usage information — sign-in times, device and browser description, approximate location derived from the connection, and error reports.
- Anonymous product milestones — for example that a first sale was recorded. These never contain names, contact details, bank details or amounts.
We never collect card numbers, PINs or CVVs. Card and bank details are handled entirely by the licensed payment provider.
Why we use it
- To run the app and show you your own records.
- To take payments from your customers and pay them out to your account.
- To keep accounts secure, detect abuse and support you when something goes wrong.
- To send receipts and alerts you asked for, and product news you can switch off.
Who sees it
- You and the team members you invite, limited by the role you give them.
- Our payment provider, for payments you choose to take online.
- Our hosting and email providers, to store data and deliver messages.
- Our support staff, only when needed. Support can never sign in as you.
- Authorities, only where the law requires it.
We do not sell your data and we do not use it for advertising.
How long we keep it
- Sales, payments, debts and expenses: 7 years, for bookkeeping and tax.
- Staff activity history: 2 years.
- Technical event and email delivery logs: 90 days.
- Anonymous product milestones: 2 years.
- A closed business: readable and downloadable by its owner for 90 days.
Your choices
- Download your data — from Menu → Export your data, as CSV any time.
- Turn off marketing email — from Menu → Settings → Privacy & your data. Receipts, payment, security and subscription messages keep coming.
- Ask us about your data — access, correction, deletion or a complaint, from the same page. We answer within 30 days.

Security
Data is encrypted in transit and at rest. Each business can only ever read its own records, enforced by the database itself. Sensitive actions — closing a business, deleting an account, changing where money is paid out — need your password again.
Children
Rekodam is for business use and is not intended for anyone under 18.
